Cancellation & Refund Policy

We understand that travel plans can change, but as a community-focused travel collective, we also work months in advance to ensure every trip is safe, inclusive, and memorable. Our policies are designed to balance flexibility for travelers with fairness to our team, local partners, and service providers.

Refunds are processed based on the trip duration and time left before departure.

1. Short Duration / Weekend Trips (Trips less than 3 days)
  • Up to 30 days before departure: 0% deduction (full refund of trip amount paid)
  • 29 to 15 days before departure: 50% deduction
  • 14 to 7 days before departure: 75% deduction
  • Less than 7 days before departure: No refund
2. Long Duration Trips (Trips more than 3 days – Domestic)
  • Up to 45 days before departure: 0% deduction
  • 44 to 30 days before departure: 50% deduction
  • 29 to 15 days before departure: 75% deduction
  • Less than 15 days before departure: No refund
3. International Trips (Trips more than 3 days – Outside India)
  • Up to 75 days before departure: 0% deduction
  • 74 to 45 days before departure: 50% deduction
  • 44 to 30 days before departure: 75% deduction
  • Less than 30 days before departure: No refund
4. How to Cancel / Modify Your Booking
  • Email your request to contact@queertravelogue.com.
  • No cancellations will be accepted via phone or WhatsApp.
  • Please reply to your booking confirmation email when sending your request.
5. Participant Replacement

You may replace yourself with another traveler if:

  • Your booking is fully paid, and
  • There are at least 7 days before departure.

Note: Replacement does not apply to flight, train, or Volvo bus bookings — these will be canceled as they are non-transferable.

6. Refund Mode
  • Approved refunds are issued as credit notes (valid for 1 year for any Queer Travelogue trip).
  • Cash refunds are not provided unless explicitly stated.
7. Payment Gateway Charges
  • Refunds will incur a 2.5% payment gateway fee (waived for UPI payments).
8. If Queer Travelogue Cancels or Changes Your Trip

We work hard to run trips as planned, but sometimes things beyond our control — such as extreme weather, natural disasters, government orders, or other force majeure events — may require changes or cancellations.

If this happens:

  • We’ll first try to offer an alternative trip or date.
  • If that’s not possible, you’ll receive a full credit note for the amount paid (valid for 1 year).
  • No cash refunds will be provided in such cases.

Note: If the trip is already in progress and cannot be completed due to unforeseen events, no refund will be issued, as services are pre-paid to our local partners.

9. Extra Costs Due to Unforeseen Events

Any additional costs arising from weather delays, road closures, medical emergencies, or other unexpected situations will be borne by the participant.

10. Drop-out During the Trip

If you choose to leave mid-trip:

  • No refund will be issued.
  • You’ll be responsible for any extra arrangements and costs for your return.
11. Community Conduct & Communication

We are an inclusive, respectful, and safe space for queer travelers. We reserve the right to refuse service or communication to anyone who:

  • Violates community ethics,
  • Uses abusive language or threats,
  • Attempts to defame our team or community through public channels.
  • Respectful communication helps us help you better.
